How to add, rename, or move COA line items
Full control over your Chart of Accounts structure — add new items, rename existing ones, move between categories.
Accessing your COA
Click your name (top right), then Settings, then Chart of Accounts. Select the COA you want to edit and click the pencil icon.
Adding a new line item
- Navigate to the parent category where you want the new item (e.g., Contract Services)
- Scroll to the bottom of that category's line items
- Click "Add new chart of account"
- Type the name exactly as you want it to appear in mapping dropdowns
- Click the checkbox to confirm
- Toggle it "on" so it appears in your mapping options
The name you enter here must match exactly what you put in your Excel model's corresponding cell (if using BYOM). The system matches on exact text.
Renaming a line item
Click the pencil icon next to any line item name. Type the new name. This is useful when Archer's default names don't match your internal terminology — for example, renaming "Utility Rebuild Electric" to "Electric RUBS Income."
One rule: you can't have two line items with the same name, even across income and expense categories. If you need "Internet" in both income and expenses, name them "Internet Income" and "Internet Expense."
Moving a line item between categories
Click the "Move" button next to the line item. Select the destination category. The line item moves and all future parses will reflect the new location.
Example: if your team puts cable/internet reimbursements under Other Income rather than Utility Reimbursements, move the item from one category to the other.
Changes take effect on the next parse
After modifying your COA, the changes apply to any future parses. Previous underwrites are not retroactively updated — if you need the new mapping on an existing deal, re-run the T12 mapping using Refresh Data in Excel with the updated COA selected.
