How do I parse a student housing Rent Roll?
Parse a student housing Rent Roll in Archer using bed-level granularity, with optional Pre-Lease Rent Roll support for future lease data.
Student Housing & Pre-Lease Rent Rolls
Student housing properties in Archer are parsed at bed-level granularity rather than unit-level. To parse a student housing property, set Rent Roll Type to Beds in Step 1. This tells Archer to measure the property by individual beds rather than units, and affects how unit counts and bed counts are calculated in Step 4 and how analytics are displayed in Step 5.
Student housing properties often also have a Pre-Lease Rent Roll (PLRR) — a separate file containing future lease commitments not yet reflected in the current Rent Roll. If you have one, you can upload it alongside your main Rent Roll in Step 1 using the Add Pre-Lease Rent Roll link.
Here is how the full student housing setup flows through the parse:
- In Step 1, set Rent Roll Type to Beds and click "Add Pre-Lease Rent Roll" to upload the pre-lease file alongside your main Rent Roll
- After Step 2, if Archer detects future leases in your main Rent Roll, a prompt will ask whether to use leases from both files or from the Pre-Lease Rent Roll only — choose based on how you want pre-lease activity represented in the analytics
- In Step 3, a separate Pre-Lease Rent Roll Charge Codes section will appear at the bottom of the charge code table — review these mappings independently from the main Rent Roll charge codes
Note: Beds mode and Pre-Lease Rent Rolls are also supported in the full Run Underwrite flow. Select Beds as the Rent Roll Type and use the Add Pre-Lease Rent Roll option in the Run Underwrite modal to apply these settings to a full underwrite.
Step 4: How Units and Total Beds are calculated (Beds type)
When Rent Roll Type is set to Beds, the Units and Total Beds columns in the Map Floor Plans step are calculated differently from the standard Units flow:
- Units = count of unique unit numbers on the Rent Roll per floor plan grouping, divided by the maximum beds in that floor plan type, rounded to the nearest integer (null values ignored)
- Total Beds = count of unique units on the Rent Roll (null values ignored)
